Position Summary:

Menlo School seeks a collaborative, detail-orientated, and computer-savvy individual to fill the role of communications associate to start in August 2021. Reporting to the Director of Communications, this individual is responsible for a wide variety of communications content coordination and provides administrative support for the School's communications efforts. Responsibilities include coordinating, writing, and editing website content (calendar of events, school directory, staff profiles, and other school information), executing communications projects, and managing digital assets such as photography and graphic/brand standards.

Responsibilities:

Website Content Coordination

Serve as a primary editor of the website, ensuring content is current and meets communications goals and standards
Select and upload images and content to various pages for faculty and staff directory, creating pages, uploading profile information, updating information, and proofreading and reviewing content for accuracy
Manage the website calendar of events section
Serve as the Web Team Lead, coordinating regular meetings, strategizing ways of improving the site, and executing website projects and updates
Photography Coordination

Organize and manage the School's photo archive and Flickr site, which includes selecting, tagging, and uploading batches of photos
Take photos of campus events and activities as needed.
Coordinate and book photographers as needed for special events
Oversight of Branding and Graphic Standards

Assist parents and faculty and staff with the production of banners, posters, and event t-shirts and ensure they consistent with the School's graphic standards
Maintain the School's style guide and graphic standards and update branding requirements and image files as needed
Assist with ordering and updating campus signage, and coordinate banner hanging schedules with Facilities
Coordinate design with graphic designer and place orders with vendors
Project Coordination

Provide project management of the school's online Knightbook directory; coordinate schedules and photo logistics, work with the Technology Department to pull data, proofread to ensure accuracy, and manage edits and updates
Produce student/staff ID cards
Working with Middle School and Upper School, coordinate the project management of academic planners for both Faculty/Staff and Students, including exporting calendar data and events, proofing, and coordinating changes with Graphic Designer
General Communications

Write, edit, and proofread various communications content, including web content press releases, and email announcements, and send community email communications utilizing the Mailchimp platform
As a member of the communications team, attend weekly meetings and assist with other communications projects as needed.
Administrative Support

Calendar coordination: schedule meetings, basic event logistics such as coordinating meeting locations, ordering food, etc
Office projects: create and organize files, binders, spreadsheets, stocking office supplies
Compile monthly credit card reports and submit PO forms and employee expense reports for Business Office
Substitute for other department admins when they are absent
Organize communications archive materials
Requirements:

Strong computer skills including expertise with Google Docs, website content management systems, web email programs such as Mailchimp, and online calendaring and event reservation platforms. Also desired, some experience with Adobe Creative Suite (Photoshop, InDesign, Illustrator), photography asset management tools such as Flickr, and knowledge of social media platforms
Ability to effectively communicate both orally and in writing; strong grammar and proofreading skills with the ability to draft basic school communications and website content as well as review other department correspondence for accuracy and to ensure it is in line with the School's style guide
Exceptional organizational skills and attention to detail
Excellent time management skills with the ability to manage multiple tasks simultaneously and prioritize assignments while meeting sometimes tight deadlines
Collaborative with a proven ability to work well with many different types of people in a dynamic school environment
Must work well with minimal supervision and show initiative and good judgment under sometimes busy and stressful situations
1-2 years of experience in an administrative support role plus familiarity with nonprofits and/or independent schools is desired
A background in online journalism and/or photography would be beneficial
Bachelor's degree (or equivalent life experience) in journalism, communications, English, marketing, or related field.

Working Environment and Physical Demands:

The job is performed in a generally clean and healthy environment, but there may be possible exposure to childhood diseases and illnesses
Exposure to heated/air conditioned and ventilated facilities with average interior dust with occasional exposure to outdoor elements
Exposure to a normal school environment that is usually quiet but sometimes noisy
