CAUCUSES AND AFFILIATED SOCIETIESCaucus Status within the Society The By-laws directly governing services to the field committee are Article X, Amendments and Additions, Section 2 Additions by Directors. To be recognized by the Society for Photographic Education as a caucus within the Society, a group must be national in scope and must present evidence that it is committed to the aims and practices of the society as outlined in the society’s by-laws. It must also possess a formal organizational structure which includes: elected officers; an identifiable membership whose members are also current members of the Society; and such signs of ongoing activity as a record of meetings, a newsletter, a periodical or other documentation. Application for caucus status must be filed with the Chairperson of the Society and will be screened by the Executive Committee. The Executive Committee will present all applications to the full Board with recommendations, either at the annual Board meeting, by e-mail, or correspondence. Acceptance or rejection of the application will be by full Board vote, with a 2/3 majority required for approval. If accepted, each caucus will agree to file an annual report of its activity for Board review. The Society will publish in its Membership Directory and Resource Guide an annual listing of all approved caucuses including the following information as provided by the caucus: name, date of founding, size of membership, annual dues (if any), name and address of president or chair and/or corresponding secretary, and a statement of 25-50 words of the caucus's nature or purpose. To the extent possible, at the national conference the Society will provide each caucus with facilities for one meeting during the annual national conference lasting up to two and one half hours during those time slots not reserved for official Society program meetings and will attempt to provide additional time slots to those groups that request more than one meeting. These meetings will be listed in the final SPE conference program. Additional information relating to caucus activities may be distributed in the conference registration area and/or conference registration packets. If audio-visual equipment required by the caucus is already present for Conference meetings, there will be no charge to the caucus for use of the equipment To secure a National Conference meeting slot, caucuses are responsible for requesting, in writing, conference meeting time(s) six months in advance of the date of the annual conference, and they are responsible for providing all information about their meetings as requested by the Conference Chairperson. The Chairperson of the Society and the chairperson of the caucus will maintain a liaison between caucuses and the Society. Deadlines and formats for reporting will be the same as for standing committees within the Society. Caucuses may apply for recognition and funding of specific projects. News from officially recognized caucuses of interest to the Society membership as a whole may be submitted to the editor of the SPE Newsletter for possible publication. Joining a caucusParticipation in any SPE caucus is a benefit of membership. To join a caucus, please check the appropriate checkbox(es) in the preference options on the membership or conference registration form when submitting those forms, or send an email to membership@spenational.org. Call for Women's Caucus histories: The WC has a rich and vibrant history that we do not want to see lost as we move forward with revitalized energy and focus. If you know pieces of the WC history or have stories that you would like to share with the newer members, please let us know! We are in the planning stages of a website and we would love to be able to post not just our current and future activities, but a bit of our colorful past as well.
